Vendor Organizer Rules 101

First time planning an event? Tip No. 1: Hire an expert! Seriously, organizing events is often much tougher than it looks, and for a first- (or second- or third-) timer, it is easy to overlook things.


If you have grand plans, you'll be far better off subcontracting with the right person, even if it is just for a portion of the event. In some cases, with vendor events, you may be able to negotiate commission-based payment. Expect to pay 15-35 percent of vendor fees if you go that route. With help with decorating, entertainment, etc., most likely it will be a flat payment. Either way, put everything in writing, including expectations, goals and deadlines.

Plan, attend to details, plan some more, look for details you missed, plan, visualize the event and see if more details present themselves, PLAN. Success is in the tiny little details.

• Partner up like mad. Barter is key. Ask for advice from those more experienced (like this post). Planning, timelines, assigning specific action items to specific responsible parties with timely calm polite follow-up is critical.

• If project-management isn't your best skill, ask for help. Saturate the community with positive messaging about the event using various vendor participants as your ambassadors.

• Make every step is as fun as possible, avoid difficult people as much as possible and know that you will make mistakes so own up to them, be okay with it and make good as best as possible.
